01About This Policy

Aevix Technologies, Inc., based in North Carolina, United States, operates Vix AI. This policy covers the initial launch of personal accounts for adults in the United States. Organization and Agency accounts are planned for a later stage.

02Information We Collect

Account information includes your name, email address, authentication information, and account settings, including any About you text you write in Settings, which Vix sends to its AI providers with your requests to tailor answers. Enabled third-party sign-in options provide the information needed to authenticate and link your account.

Content includes prompts, conversation history supplied with requests, generated responses, submitted images, saved creations, and Library material used with enabled features. Only provide information you have authority to share.

Service records include session information, IP addresses and browser information used for authentication, request and error records, and usage information needed to operate the service, prevent abuse, and administer allowances. If you purchase a subscription, payment providers process payment details, and Vix retains records needed to administer the purchase. We also receive information you send when contacting us.

03How We Use Information

We use information to authenticate accounts, answer requests, provide enabled features, save and synchronize supported work, search authorized Library material, administer subscriptions and usage, respond to support requests, maintain security, investigate misuse, and meet legal obligations.

04Improvement and Training

Settings includes an Improve Vix setting, on by default. While the improvement program runs and this setting is on, Aevix Technologies, Inc. collects usage and error information and copies of conversation content to evaluate responses and improve Vix. Authorized Aevix personnel may read these conversations to assess quality, investigate problems, and improve the product.

Under this program, we retain improvement copies for no more than 90 days after collection. Turning Improve Vix off stops new optional improvement collection and starts deletion of existing improvement copies, completed within 30 days. It does not delete your saved conversation history or stop processing needed to answer requests. Essential security, account, and billing records have separate purposes and retention rules.

The separate Allow model training setting is off until you give explicit consent in Settings. That permission is limited to training AI models for Vix, not unrelated Aevix products or another company's independent purposes. You can withdraw it in Settings at any time. The handling of existing training datasets after withdrawal is still being defined; the improvement-copy deadlines do not establish a training-data schedule.

When you rate a response with a thumbs up or down, Aevix receives the rating, the reason you pick if any, and which Vix model tier answered. While Improve Vix is on, Aevix also receives the message you sent and the response you rated, so authorized Aevix personnel can review the rating in context. We keep feedback for no more than 90 days after you last rate that response. Removing a rating deletes it, turning Improve Vix off deletes the stored messages and responses while keeping the ratings, and deleting your account deletes all of it.

Both settings are in Settings under Data & privacy, and your choices are saved to your account. Apart from response feedback you choose to send, optional improvement collection and model training have not started yet. Before either begins, we will provide notice. Training permission covers only conversations after you give it, never earlier ones.

05AI Processing

Vix sends relevant content to external AI services to produce responses. Depending on the feature, this can include your prompt, relevant conversation history, selected images, retrieved Library excerpts, or a design brief. Library indexing may send document text to an embedding service for search. Web-assisted responses can involve searches derived from your request.

Vix uses external AI providers, including OpenAI and OpenRouter with its model-hosting providers, for supported AI features. The provider used depends on the feature and service configuration.

Vix storage and provider processing are separate. Disabling a provider's response-storage option does not necessarily eliminate security logs, legally required retention, or feature-specific processing. We do not represent that all providers operate without retaining data.

06Storage and Cookies

Vix keeps local copies of supported work in browser or application storage. When account synchronization is enabled, supported conversations, saved creations, and project records also go to Vix's servers. Library material can be stored separately for retrieval.

Clearing local app data does not necessarily remove server copies. Signing out, archiving, deleting a conversation, and deleting an account are different actions. Files you export or share remain subject to the destination's storage and deletion controls.

Web authentication uses cookies, and the app uses browser storage for supported work and settings. Blocking essential storage can prevent sign-in or persistence. Optional tracking technologies, if introduced, will be subject to the notices and choices required by applicable law.

If you use the desktop application's browser, visited websites receive information through their normal connections and may store cookies or browser data. That browser uses persistent storage and sends non-URL searches to Google.

07Disclosure of Information

Service providers receive information needed for hosting, storage, AI processing, enabled authentication and email services, and payments. Depending on the feature and purchase channel, these providers include Cloudflare, OpenAI, OpenRouter, Resend, Stripe, and Apple.

We may also disclose information when you direct us to a sharing destination, where legally required, to address unlawful activity or protect rights and safety, or as part of a lawful business transfer with appropriate protections.

We do not sell personal information, share it for cross-context behavioral advertising, or use it to show advertisements.

08Retention and Deletion

The improvement program described above will retain copies for up to 90 days and delete existing improvement copies within 30 days after opt-out. These limits apply to improvement copies, not to saved conversation history, billing records, security records, or provider records. Other information is retained as needed to provide the service, meet legal obligations, address security issues, and resolve disputes.

Removing a conversation from view does not necessarily erase every stored copy. Deleting your account in the app removes the account and the content synced to it, including conversations, saved creations, Library material, automations, and About you text. To request deletion of other information, email privacy@aevixtech.com. We will explain any information retained to comply with law or for another permitted purpose. Deleting local application data does not itself delete server records.

Exported files and copies independently retained by recipients must be managed at their destination. Local archive exports contain supported conversation material and are not necessarily a complete copy of every record Vix holds.

09Your Rights and Choices

Contact privacy@aevixtech.com to request access, correction, deletion, or other rights available under applicable law. We may need to verify your identity and authority. Do not include passwords, payment-card information, or sensitive records in your initial message.

In the app, you can edit or clear your About you text, manage your Improve Vix and model training choices, export a local archive, delete your account, and start access or correction requests. You can also manage operating-system and browser permissions. Subscription cancellation is separate from a privacy request. We will respond in accordance with applicable law and explain any available appeal process if a request is denied.

10Security and Sensitive Information

Authorized Aevix personnel may review improvement conversations for the purposes described above. No system is completely secure. Ordinary AI conversations are not end-to-end encrypted: Vix and its AI services must process their content to answer requests.

Do not submit identifiable patient information, protected health information, identifiable student records, confidential incident records, or other information requiring a specialized compliance agreement. A future Agency plan creates no exception unless Aevix expressly authorizes the specific use under a separate agreement and verified safeguards.

11Age and Location

Vix is offered to adults age 18 and older in the United States and is not intended for children. Contact privacy@aevixtech.com if you believe an ineligible child has supplied personal information.

US-only availability does not mean every service provider processes information only in the United States. Information may be processed in countries where our providers operate, subject to applicable legal requirements.

12Changes and Contact

We will identify the effective date when this policy takes effect. We will update it when practices change, provide additional notice, and obtain consent when required. Send privacy questions to privacy@aevixtech.com.
